Primary Purpose:
Provide leadership and supervision to a team of Buyer Administrators with accountability for effective and consistent execution of day-to-day Buyer operational tasks, using relationship networks. As well as being accountable for development and upskilling of the team.
Duties and Responsibilities:
• Responsible for day-to-day coordination of workflow, ensuring team operates at the optimum level of effectiveness and efficiency; balance workload to ensure maximum productivity of each MA
• Monitors and tracks progress of initiatives to ensure work is completed on time within the quality standards established by the department
• Ensures all PO's are placed on the books weekly within agreed upon timeframes
• Ensure POs are reported on and tracked for inbound flow to our DC's as written for or modified by BAs
• Partners with all levels in Buying organization, primary contact with Buyers, to ensure day to day operational execution of BA tasks ensuring sufficient coverage for absences
• Partners with Buying Operations management team and business partners to develop and implement new processes and procedures to improve/enhance service delivery
• Anticipates shifts in business needs; to work with peers and manager to proactively adapt operations in support of Buying activities
• Oversee/monitor analysis of operational activities (future state)
• Identifies development opportunities and works with peers, manager and Development Project team to upskill / develop new training and learning opportunities for Associates
• As part of the Talent Management process, identify Associate potential, represent to other Supervisors and Managers for movement within the function and promotion opportunities
• Coach and train BA's on daily management of purchase order creation, vendor relations and internal communication with key stakeholders, including follow through of deliveries of inbound flow to receipt in the DC. Develops their capability, business acumen and off-price knowledge to effectively deliver on Buying Organizations objectives.
• Partner collaboratively with Imports, Logistics, Accounts Payable and Mechanising Departments to develop and ensure execution of procedures that maximize efficiencies and accuracy for the writing and modifications of purchase orders and inbound flow
• Ensures all Associates have clarity with, and are held accountable to, business objectives and outcomes
• Ensures timely communication within and between teams and with Partners
• Ensure BAs take accountability in what they own in terms of business decisions and vendor relationships determined by Buyer
• As part of the internal hiring process, anticipate needs for new hires on teams, interview potential candidates, create internal talent pool, strategically back fill proactively to ensure seamless transition and cover, ensuring end to end support during probationary period
• Work with fellow Supervisors and BA's to ensure strong partnerships with TJX and TJXE business partners, to ensure each department receives the appropriate level of business support, leveraging resources within and cross-team to maximum capacity. Flexing to meet business needs
• Oversees sample management as required to ensure seamless transactions and transitions of samples to support the needs of TJX whilst maintaining a high level of H&S compliance (marketing, strategy, sample sales)
• As necessary, represent Buying Operations business needs on TJX and TJXE initiatives, including those requiring systems enhancements or the creation of new tools or processes
People Management:
• Strategically manage BA holiday on team to ensure appropriate cover, taking in to consideration GM requirements
• Appropriately react to sick leave ensuring cover is in place
• Facilitate Mid & End of Year reviews, gaining feedback from relevant partners to effectively review the BAs performance
• Hold weekly Team meetings to align on business updates, Buying Operations communication, and work flow support for all buying teams
• One to ones - to build on relationships, work on personal development, and ensure regular feedback is given flexing management style to individuals personality type
• Development and upskilling (Training) to ensure clear direction is given to BAs to guide them to beneficial training sessions on Buying Operations development calendar
• Performance management - accountable for covering all aspects of individual's performance, high lighting and recognising talent and high performance, also managing development areas or behavioural issues using appropriate measures
• PDP - identify areas of growth, potential and collaborate with BA to implement and achieve goals
Projects:
• Take Ownership of assigned project, work collaboratively with peers to deliver and achieve project milestones set, presenting to senior managers where necessary
